HOW WE WORK
Built around your business, not the other way around.
PayMaster doesn't sell a package. We listen first, design a payroll and workforce engagement around how you actually operate, and stay involved long after launch. Here's what that looks like.
01 / THE PREMISE
Most payroll companies start with their software. We start with your operation.
"We do for you, what the big-box companies won't."
The big-box providers will hand you a login and a 40-page setup checklist. That works if your business looks like everyone else's, but most don't.
We start somewhere different: a real conversation about your team, your pay cycles, the rules that apply to your industry, and the parts of your week you're tired of doing by hand. Then we build the engagement from there.

02 / THE PATHWAY
Four steps.No surprises.
From first conversation to ongoing partnership, here's the path every client walks.

Discovery call
Typically 30-45 minutes
A real person, usually Romeo or a senior advisor, listens to how your business runs today. They cover headcount, pay frequency, the apps you already use, and where the friction is. There are no demo decks, no quote pressure, and no whiteboard exercises.
You leave with:
a clear read on whether PayMaster is the right fit, and what we'd recommend if it is.

Tailored proposal
Within 3-5 business days
We come back with a written engagement plan: the specific services we'd run for you (payroll, HR, time and labor, workers' comp pay-as-you-go, onboarding, recruitment, benefits assistance), how they connect, and what it costs. No template tiers and no surprise add-ons.
You leave with:
a real proposal you can review with your CFO, your bookkeeper, or your spouse.

Guided onboarding
Typically 2-4 weeks, depending on size
A named onboarding lead walks the migration with you, pulling employee data, mapping pay codes, setting up tax accounts, and training the people who will touch the system. We don't hand you a checklist and disappear; we sit on the calls with you.
You leave with:
a live system, a trained team, and a first payroll run that matches the last one you ran somewhere else to the penny.

Ongoing partnership
For as long as you're a client
You get a direct line to real people who know your account, alongside quarterly check-ins. Expect help when a state tax notice shows up, updates when a regulation changes, and honest advice when you ask, "should I...?"
You leave with:
a payroll function you stop having to think about, which, honestly, is the whole point.
03 / The human part
The platform handles the math.
We handle everything else.
PayMaster HCM is a real piece of technology, built to scale from one employee to ten thousand. But software can't read a state tax notice for you, push back on a misclassified vendor, or tell you whether your bonus plan is actually going to clear comp ratios. That's what we're here for.
When a notice arrives
You forward it. We read it, respond to it, and tell you what, if anything, you need to do.
When you're about to hire
Call us before you write the offer. We'll flag the state-tax setup, the workers' comp class, and the onboarding paperwork so day one is clean.
When something feels off
Numbers don't tie, a check looks wrong, or an employee disputes a deduction. You call, and we pick up.
04 / FAQ
The questions we actually get asked.
How much does this cost?
It depends on the engagement. We don't publish tier pricing because we don't sell tiers. After the discovery call, you'll get a written proposal with line-item pricing for the services you actually need, with no platform fees, no surprise add-ons, and no "starting at $XX" language designed to get you on a sales call.
How long does onboarding take? Two to four weeks for most businesses, while larger or multi-state operations can run six to eight. We'll give you a real timeline after the discovery call, and we'll hit it.
Do I have to switch everything at once? No. We can layer in services as you're ready. Many clients start with payroll, then add time and labor, then HR. The platform is built so you can grow into it, not so we can upsell you into it.
What happens if I have an issue after onboarding? You call or email the team that knows your account: real people, not a ticket queue. Most issues are resolved the same day. For the ones that aren't, we tell you why before you have to ask.
Who actually does the work on your end? A small, named team. Your onboarding lead coordinates launch, then your ongoing service team takes over after. Romeo (our CEO) is in the day-to-day and shows up on calls, especially the first one. It's not a marketing tactic; it's how he stays close to what clients actually need.
Are you a software company or a service company? Both. PayMaster HCM is the platform, and the service wrapped around it is what makes the engagement work. You're hiring both (and the joke around the office is that if either one disappeared, the other one wouldn't survive the week).
07 / Start the conversation
The first call is the hardest part. And it isn't hard.
30 to 45 minutes. No deck, no pressure, just a real conversation about your business and whether we're the right fit.
